Catch-up & cleanup · QuickBooks Online

Behind on your books?Let’s get you caught up.

Historical reconciliation, error correction, and a QuickBooks setup that holds up at year-end. One project, scoped to where your file actually stands today — not a flat retainer that doesn’t fit the mess.

  • 3, 6, or 12+ months caught up
  • Every statement reconciled
  • QuickBooks setup that actually works
Built for the messy middle

If any of these sound familiar, this is the engagement.

  • It’s been 3, 6, or 12+ months and nobody’s touched the books.
  • Your last bookkeeper left mid-stream and the file is half-done.
  • You’ve switched to QuickBooks Online and the history didn’t come with you.
  • Your CPA keeps asking for things your books say you don’t have.

What this work covers

Three things, in this order, on every catch-up engagement.

The shape of the project stays the same regardless of how far behind you are. What changes is the depth of each step — and that’s what the discovery call is for.

Pull history forward

Back-fill 3, 6, 12+ months of bank and credit-card transactions into QuickBooks Online. Every line is classified, every statement is reconciled, nothing is summarized into a fake opening balance.

Correct what’s wrong

Fix the miscategorized entries, the duplicated vendors, the half-entered payroll runs, the bank-feed gaps. Reconcile every statement to the penny — not to whatever an opening balance says on a good day.

Set up QuickBooks right

Chart of accounts sized for the business, apps and integrations plugged in, the reports your CPA opens actually wired up. You keep the books when we’re done — not a mystery file that only one person can read.

How a catch-up engagement runs

Discovery, then pull, then reconcile, then hand off.

No two files are in the same shape, so the project steps look like a checklist — not a calendar. Here’s the meat of what happens once the scope is set.

Discovery & scoping

A free 30-minute call. I review the file, count the months, look at the chart of accounts you came in with, and write up a fixed-fee proposal for the work.

Pull + clean history

Bank and credit-card transactions pulled in and classified. Misclassified entries fixed. Missing statements sourced. Duplicates collapsed.

Reconcile + correct

Every statement reconciled to the penny. Payroll runs that were skipped are entered. Vendors are deduplicated. The chart of accounts gets sized for how you actually run the business.

Hand off into monthly close

At the end of the project the books are clean, current, and your CPA-ready. From there you can move onto a monthly engagement — or stay DIY. The choice is yours.

A note on pricing

How catch-up engagements are scoped and quoted (per project).

Catch-up work is quoted per project, not on a monthly retainer. The fee is set after the discovery call and depends on four things:

  • How many months behind you are — three months of clean-up and twelve months of clean-up are not the same job.
  • Transaction volume— a twenty-charge-a-month service business and a six-hundred-line restaurant take a very different amount of work to reconcile.
  • The state of your chart of accounts — a chart that was set up by someone who left, or a chart that’s grown by accretion for years, both need rework before the cleanup lands.
  • Whether your prior bookkeeper left a partial file — picking up a half-finished file is a different scope than starting from scratch.

After the discovery call you get a written proposal with the scope and the flat fee — not an estimate that drifts, and not a flat monthly number that doesn’t fit the catch-up.
